Cancellation Policy

At EVR Therapies, we value your time and the time of our practitioners. We understand that circumstances can change and you may need to cancel or reschedule your appointment. To ensure fairness to you, our practitioners and clients waiting for an appointment, we have a cancellation and no-show policy in place.

Cancelling or Rescheduling an appointment

If you need to cancel or reschedule your appointment, please notify us at least 24 hours in advance. You may cancel by :

  • Calling the clinic or SMS on 0423 700 524.

  • Reply SMS or email to your confirmation and/or reminder message or email.

  • Emailing us at info@evrtherapies.com.au

Please note we do not accept reschedules or cancellations on social media as these inboxes are not monitored.

If you contact us past 6:00pm, your cancellation or reschedule notice will be accepted from 8:00am the following day.

Cancelling or rescheduling your appointment outside the 24-hour window will not incur any fees.

Late Cancellations and No-Show Fee

Because your appointment time is held just for you, late cancellations or missed appointments often can’t be filled. The cancellation fee helps cover your therapist’s time and supports fairness for clients on the waitlist.

If you cancel within 24 hours or do not arrive to your appointment, an 100% cancellation fee will be applied to your appointment.

Late Arrival Procedure

We understand you may arrive late to your appointment for reasons beyond your control such as traffic and parking. Please send us an SMS on 0423 700 524 if you are running late and we will do our best to do as much as we can with the time we have remaining in your session.

If you are running late or have not yet arrived:

  • A text message will be sent 5 minutes after your appointment start time.

  • If there is no response, we will call you after 10 minutes after your appointment start time.

  • If you do not arrive within 15 minutes of your scheduled appointment time with no contact to the clinic, the appointment will be cancelled and the 100% no-show fee will apply.

Courtesy Reminders

  • We send out a reminder SMS and email 48 hours before your appointment time.

  • Please note that these reminders are a courtesy and are not a guaranteed. It is the client’s responsibility to attend the appointment once it has been confirmed via online booking or communication.

  • Failure to receive a reminder does not exempt cancellation fees.

Multiple Late Cancellations or No-Show Policy

  • If 3 late cancellations or no-shows occur within a 6 month period, further rebookings will require pre-payment at the time of booking. This helps us ensure appointment availability and manage time fairly for all clients and the practitioner.

  • Once your appointment is booked, we will send you an invoice for pre-payment that will remain open for 24 hours; if payment is not received within this time, the appointment will be cancelled.

  • Once payment is made:

    • If you need to cancel outside the 24-hour window, we can issue a full refund or credit to another appointment.

    • For no-shows or cancellations within 24 hours of the appointment, the pre-payment is non-refundable, in line with our cancellation policy.

How Cancellations are Processed

  • Appointments are cancelled in our system with a recorded reason to notify the practitioner.

  • If a cancellation fee applies, an invoice will be emailed to you. We now have the option to pay card (via Stripe) on our invoices as well as bank transfer with our details on the invoice.

Please note: Cancellation invoices cannot be claimed through private health insurance, WorkSafe, or any other subsidised schemes.
