  • Enhancing service delivery through the use of Splose AI for clinical documentation and administrative efficiency.

  • Sending invoices on your behalf for third party payment such as WorkSafe.

We take reasonable steps to ensure that all personal data is handled securely and in compliance with privacy laws.

4. Procedure

4.1 – Collection of Personal Information

  • Personal information may be collected during consultations, appointment bookings, and through digital or paper intake forms completed via Splose or provided by the clinic.

  • If personal information is completed on a paper intake form, the form may be scanned and uploaded into the patient’s secure record within Splose. Once the upload is confirmed, the physical copy and any duplicate copies outside the secure record system are securely destroyed.

  • Information may also be collected through communications, such as emails, phone calls or social media enquiries.

  • Our website does not currently use cookies to collect personal information. Should this change, this privacy policy will be updated to reflect our cookie practices.


4.2 – Storage and Security

  • Personal information is stored securely within software such as Splose, a cloud-based practice management system compliant with Australian data protection standards.

  • Splose AI may be used to assist with clinical documentation, appointment management, and administrative tasks. All AI-generated content is reviewed by our practitioners to ensure accuracy and relevance.

  • We implement access controls and data encryption to protect information from unauthorised access, loss, misuse, or disclosure.

  • We require all practitioners to have two-factor authentication enabled to have access to Splose software.

  • We periodically review our practice management software to ensure we are utilising the most effective and secure platform available. If a transition to a new provider is deemed necessary, we will take appropriate steps to securely transfer all relevant data while maintaining confidentiality and compliance with privacy regulations.


4.3 – Disclosure of Personal Information
We may disclose your personal information in the following circumstances:

  • To other healthcare professionals with your consent.

  • To third-party service providers who assist in clinic operations (e.g., payment processors, IT support), ensuring they adhere to privacy obligations.

  • When required by law or to protect our legal interests.


4.4 – Access and Correction

  • Clients have the right to access and correct their personal information.

4.5 – Data Retention and Disposal

  • We retain personal information for as long as necessary to provide our services and comply with legal obligations. In line with Australian regulations, we keep client records for at least 7 years after the last treatment date. For clients under the age of 18, records will be retained until the client turns 25, whichever is longer.

  • After the required retention period, data is securely destroyed or anonymised to protect your privacy.

5. Your Rights and Choices

You can:

  • Request access to or correction of your personal information.

  • Withdraw consent for certain uses of your data (subject to legal requirements).
